Terms of service
The agreement between your shop and us. Written to be read — if anything here is unclear, email us and we will explain it in plain words.
Last updated 27 September 2026
1Who this is between
These terms are between Barbertab ("we", "us"), a sole trader business in England, and the shop or barber opening an account ("you"). Barbertab is not a limited company.
This is a business-to-business agreement. The consumer cancellation rights in the Consumer Contracts Regulations do not apply, but you can cancel at any time under section 5 anyway.
2Your account
You need to be 18 or over and running, or about to run, a barbering business. Keep your password to yourself — you are responsible for what happens under your login.
Give us accurate details and keep them current, particularly your email address, because that is how we reach you about billing and outages.
3The free trial
You get 14 days free. We do not ask for card details to start. At the end of the trial your account pauses until you choose a tier — we will not charge you automatically, and nothing is deleted while you decide.
4What you pay
Tiers start at £12 a month. Every feature is on every tier; the tiers differ only in how many appointment reminder texts they cover:
- Starter — £12 a month, 80 reminders.
- Standard — £16 a month, 250 reminders.
- Unlimited — £20 a month, no stated reminder limit, priced for shops sending around 450 a month.
Each barber beyond the first costs £5 a month on any tier. Add one part-way through a month and you are charged only for the days that remain; take one off and you are credited the same way, on your next invoice.
We are not VAT registered, so no VAT is added to any of these prices and the figure you see is the figure you pay. If that changes we will tell you at least 30 days beforehand.
Billing is monthly in advance and renews until you cancel. If we change our prices we will give you at least 30 days' notice by email, and you can cancel before it takes effect.
Referral rewards. If another barbershop signs up with your invite link or code and then makes its first payment after its free trial, you get account credit worth one month of your plan at the price you pay at that moment, or the amount that shop paid if that is less. Your fifth paying referral earns an extra month, so five referrals come to six months. You can earn up to 12 months of credit in any 12 months. The credit is taken off your future invoices automatically. It has no cash value, cannot be transferred, and is lost if you close your account. A shop of your own, one run by the same business, or one paid for with a card already used by you or another shop you invited does not count, and we may withdraw credit gained that way. We may change or end the referral scheme with 30 days' notice; rewards already earned are kept.
5Cancelling
Cancel whenever you like from your settings. There is no minimum term and no exit fee. You keep access until the end of the month you have paid for, and we do not refund part months.
You can export your client list and booking history as spreadsheets whenever you like, from Settings. After you cancel, your account stays open for export for 90 days before it is deleted — the same window as the privacy policy sets out. Export before then if you want to keep anything.
6Deposits and money from your clients
Client deposits and membership subscriptions run through your own Stripe account, connected to Barbertab. That money is yours and never passes through our accounts.
A membership is a recurring payment your client sets up from your booking page. They are shown the price, the number of cuts, the rollover rule and the notice period, and have to tick to confirm before paying. We store exactly what they agreed to and when, because that is the evidence if they ever dispute the charge.
You are the merchant for those payments. That means the contract for the haircut is between you and your client, and refunds, chargebacks and disputes are yours to handle. We give you the buttons to do it.
We take no cut of your deposits or memberships and there is no platform fee. Stripe charges its standard processing fees to your Stripe account directly, under your agreement with Stripe; they are yours to pay, including where Stripe does not return a fee on a refund. We take nothing at all from cash or card taken in your shop.
Your Stripe account is your own. You are responsible to Stripe for its balance, including chargebacks and any negative balance, and you manage refunds, disputes and payouts in your own Stripe Dashboard.
You set your own cancellation notice period, and inside it a client who cancels does not get their deposit back. That is your policy and your decision, not ours. [GET ADVICE: a consumer who books at a distance may have cancellation rights under the Consumer Contracts Regulations 2013 that sit awkwardly with forfeiting a deposit, and the position for a personal-care appointment is not settled. Check where you stand before relying on it.]
7Text messages
We send appointment reminders and cancellation notices to your clients on your behalf. You are responsible for having a lawful basis to text them, and for the content of anything you customise.
Tiers cover the reminder volumes listed in section 4. Once you reach your month's allowance we stop sending texts until the month turns over. We do not charge you for extra texts and we do not move you up a tier without asking — but the email reminder still goes out, so your client is told either way. If you are regularly hitting the limit, move up a tier.
Texts are for appointment reminders and cancellations only. The service is not for marketing campaigns, and we may suspend sending if it is used that way.
8Your clients' data
You decide what you record about your clients, so under UK GDPR you are the data controller and we are your processor. We process client data only to run the service for you, on your instructions.
That makes answering your clients' data requests your job. We will help, and you can export or delete any record yourself.
The terms on which we handle that data are set out in our data processing agreement, which is the written contract UK GDPR Article 28 requires between a controller and a processor. It forms part of these terms and applies to your account from the moment you open it — you do not need to sign or request anything. Where it says something different from these terms about your clients' personal data, it takes precedence.
Our privacy policy sets out the sub-processors we use and also forms part of these terms.
9Reviews
Clients can only review an appointment the shop marked as completed, through the private link in their own booking email, and only once. Nobody can post a review without having sat in the chair, and neither you nor we can add one.
You cannot delete a review because you disagree with it. You can dispute one, and we will remove anything that is abusive, discriminatory, obviously fake, or not about a real visit. We aim to look at a dispute within five working days, and the review stays visible while we do.
Reviews are the honest opinion of the person writing them, not ours.
10What you must not do
- Use the service for anything unlawful, or to harass anyone.
- Try to break, overload or reverse engineer it.
- Resell it or run someone else's shop on your account without telling us.
- Upload anything you do not have the right to upload, including photos.
11Keeping the service running
We work hard to keep the service up but we do not promise it will never go down. We may take it offline for maintenance, and we will give notice where we reasonably can.
[IF YOU OFFER AN UPTIME COMMITMENT, SET IT OUT HERE. Do not promise a percentage you have not measured.]
12Our liability
Nothing here limits our liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law.
Otherwise, we are not liable for lost profits, lost bookings, lost goodwill or indirect losses, and our total liability in any twelve-month period is limited to the fees you paid us in that period.
You are responsible for your own business records. Export your client list regularly.
13Ending your account
You can close your account whenever you like. We can suspend or close it if you break these terms, do not pay, or use the service in a way that puts other shops or their clients at risk. Where it is reasonable, we will warn you first and give you a chance to put it right.
If we close your account you get the same 90 days to export your data as if you had closed it yourself, unless we are closing it because of something unlawful, in which case we may act sooner.
14Changes to these terms
We may update these terms. If a change matters to you we will email you at least 30 days before it takes effect, and carrying on using the service after that counts as accepting it.
15Governing law
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
